Client material instead of the tenth email with the same answer
Every service business has a list of questions that keep returning. Answering them afresh costs a dozen or so unbilled hours a month — and it is a cost you can actually measure.
Count it once. How many times last month did you answer a question you had answered before? How many of those answers were half copied from a previous email?
In an accounting office with twenty clients that usually comes to a dozen or so hours a month. In a law firm, much the same. That is a full working day spent producing variants of one text, and nobody bills for it.
Why it goes on for years
Because each individual answer is cheap. Twenty minutes does not look like a problem worth a project of its own. The problem only becomes visible at the scale of a month, and at the scale of a month nobody measures it.
The second reason: writing the material once, properly, takes two days you do not have. Answering an email takes twenty minutes you can always find. The choice is therefore rational in every individual case and disastrous in aggregate.
What material that solves it looks like
It answers questions rather than surveying a field. The table of contents should read like a list of client questions, because that is what it is. “How long to keep records”, not “Aspects of document retention”.
It carries your name. Material in your colours, with your logo on the cover, stays with the client as yours. The same text pasted into an email disappears within a week.
You can point people to it. Page numbers and a table of contents turn “I sent you that once” into “page fourteen”. That is the difference between material you use and material that sits there.
Building the table of contents in half an hour
Open your sent folder from the last month and write down the questions you answered more than once. Do not edit them — record them as the client asked them. Half an hour later you have a list of twelve items.
That is a finished outline. Each question is a chapter, and your existing answer is the description of its scope.
What it does not solve
It does not replace the conversation about a client's specific case — and that is right, because that is what they pay for. What it removes is the basic part of that conversation, the part you previously had to work through before reaching the point.
The material also needs reading before it goes out, particularly on regulated subjects. Your name is on it, which means you answer for every sentence — regardless of who wrote it.
Frequently asked questions
Where do I start if I do not know which questions recur?
With your sent folder from the last month. Questions you answered more than three times will list themselves — and that is a ready-made table of contents.
Will such material make me look replaceable to clients?
It replaces the repeatable part of the conversation, not the conversation. A client who has read the material arrives with a question about their own case rather than a basic one — and that is the conversation they pay for.
How often does this material need updating?
On subjects tied to regulation, after every material change. On process and terms of engagement, once a year is enough.
